PDF is what lawyers, auditors and records departments usually ask for. It opens anywhere, prints cleanly and can't be edited by accident. EML files don't meet any of those needs, so they need converting.
Printing to PDF is free and fine for a few emails. It leaves attachments behind, though, and it takes forever for a whole folder.
01
Method 1: Print to PDF (free, one at a time)
- Open the EML file in Outlook, Thunderbird or Apple Mail.
- Press Ctrl+P (Cmd+P on Mac).
- Choose Microsoft Print to PDF as the printer on Windows, or PDF > Save as PDF on a Mac.
- Save the file.
What's missing: attachments aren't included, only their names. Some header fields, like BCC or the full date and time zone, may not print. And it's one email at a time.
02
Method 2: Batch convert with EML Converter
Magic Soft EML Converter turns a folder of EML files into PDFs in one run. Each PDF carries the email's header details (from, to, date, subject) and the attachments are embedded in the PDF.
01Load the EML files
Select a single file or a whole folder; subfolders are included.
02Pick the emails
Preview and tick the messages you need. Use the date filter to limit it to the relevant period.
03Choose PDF
Click Export and select PDF. Choose a naming pattern such as date plus subject.
04Export
Pick a destination and click Start Export.
Everything runs on your own PC, which matters when the emails are privileged or contain personal data.
03
Preparing emails for a legal production
If the PDFs are going to opposing counsel or a court, a few extra steps save trouble later:
- Name files consistently. Date first (
2024-05-02 Subject.pdf) keeps the set in order.
- Combine where needed. Use PDF Split & Merge to merge a thread into one document with a bookmark per email. See how to merge PDF files.
- Add Bates numbers. Stamp every page with PDF Bates Numbering so each page can be cited. Our guide what is Bates numbering explains the basics.
- Keep the originals. Store the source EML files untouched in case anyone asks for native files or metadata.
Summary
Print a few emails to PDF for free. For whole folders, or when attachments must travel with the email, batch convert. Have Outlook PST or MBOX files instead? See PST to PDF or the MBOX to PDF converter.
