You attach a 40 MB scan, press send, and the email bounces or Outlook refuses the attachment. Every mail service has a size cap, and PDFs of scanned documents pass it easily.
You can shrink the file, share a link, or split the PDF into parts that each fit. Splitting by size keeps full quality and needs no cloud account.
01
Attachment limits of common email services
| Service | Attachment limit |
|---|
| Gmail | 25 MB per email |
| Outlook.com | 20 MB per email |
| Yahoo Mail | 25 MB per email |
| Microsoft 365 / Exchange | Set by the organisation's admin; often 25 to 35 MB |
ENCODING OVERHEAD - Attachments are encoded for sending, which adds roughly a third to their size. A 20 MB PDF can count as about 27 MB, so aim for parts well under the limit, around 10 to 15 MB.
The recipient's server has a limit too, and it may be lower than yours.
03
Split a PDF by file size
Magic Soft PDF Split & Merge has a By File Size mode. You set a maximum size in MB and it groups pages into files under that size.
01Add the PDF
Load the large file, or several of them.
02Choose Split > By File Size
Enter the maximum, for example 10 MB.
03Export
Pick an output folder and click Start. Each part is a normal PDF with consecutive pages.
If a single page is larger than the limit by itself, it goes into its own file, so no page is ever dropped. Original quality is kept because pages are copied, not recompressed.
Name the partsRename the outputs Report part 1 of 4.pdf and so on, and say in the email how many parts to expect.
04
Putting the parts back together
The recipient can read the parts as they are. If they want one file, they can merge them in order with Preview on a Mac or any PDF merge tool. See how to merge PDF files.
Summary
Keep each attachment well under the limit to allow for encoding, around 10 to 15 MB for most services. Splitting by file size keeps the quality and works with any email account. For other ways to divide a PDF, see how to split a PDF.
